Re-evaluation

The IEP started last year and the re-eval date is 3 years out from today.

The IEP start date is key. If the IEP was started last year, the IEP start date should reflect the same. Then, the re-evaluation date will be reflective…back date the IEP to last year when it started for an acurate re-eval date

Re-evaluation

The re-evaluation date does not update on the final conference report in the final eligibility paperwork even though the date is correct in the eligibility info section of the blue menu. It does update on the IEP final conference report, but on the eligibility conference report, it shows up as either the 60 day limit date, or the old re-eval date.

This is a known issue. It is the way the database is designed to work. The problem generally occurs when the Eligibility date is not entered which is a point of reference. Once the Eligibility date is entered, it automatically feeds the correct date into the Conference Reports.

On the other hand, when a date is manually entered and no initial date had been entered, a second conference report must be created with the correct date. Then, the first report with the incorrect date can be deleted. The database design assumes the Eligibility date has been created and the date will be automatically populated with the accurate date.

Report Card Wizard

the report card wizard says there are no annual goals in this students’ IEP, but when I go to his documents, they are there. How can I do a report card for him if his goals don’t show up in report card wizard, and how can I make them appear there?

The first is; there were (2) finalized IEPs created with the same start and end dates.
They were also created on the same day which produces an error when trying to
access the data via generating a report card. This has been cleaned up.

The second was; an event started and was not finished after the (2) IEPs
were finalized. It was an attempt to create another IEP which never came to be.
The report card wizard also tried looking at this event which also produced an error.
This has been cleaned up.

Related Services

If you enter a related service and then delete it, it often still shows
up and prints out in the final IEP copy. This has happened multiple times.
It also adds the deleted minutes into the total service minutes. It happens
when you delete by checking the box to delete the entire entry, and it also
happens even when you go in and delete each bit of information in the related services text boxes individually.

This generally happens when the Related Service is Not deleted. Directly above The Related Services bar has options “yes” and “no”. If “no” is selected and you check the delete box for the elected Service, the service will not delete (it will
be hidden). You must make sure “yes” is selected, and then check delete and save. This will completely delete the service and resolve the problem of adding the extra minutes.

An additional choice of Not Applicable needs to be added to Education, Training, and Independent Living Skills.

Per the FACTS document, the only allowable options for that question are Yes or No. They do not allow N/A as an option. The options of Yes, No or N/A are aligned with the allowable responses that the state outlines for those questions.

Since Reporting periods are cumulative, it picked up Reporting period 2 within the Reporting Period 1 document. Then, a Reporting Period 1 document was created and picked up Reporting Period 2 (… since they are cumulative). Remove both documents. You can go back and create a Reporting Period 1 picking up the same information which is already in the database – only for Reporting Period 1.

State Reporting

Not sure what reported to the state via the database

When we go to do state reporting the RCTDS code is reported to the state (which would be the school code in EasyIEP) and the facility 3 or 4 digit number is also reported. The facility code number is entered on the state reporting page when the IEP is completed. Also, it is important that whatever code is used in the school code field matches the code that the local district uses to associate the student with that location. For example, I may enter the 10 digit RCTDS code, but if the school district only uses the last 4 digits in their Student Information System, or has its own number, then the students will not be associated correctly when the data is uploaded. The codes need to match. An example that we have seen is that Elim Christian School has 1 RCTDS code but 3 program numbers. I think this is the case you are referring to so most of those districts have Elim listed once with the RCTDS code in the school list and then will report the facility code in the State reporting section

Ineligibility

staff member will need to hold an Eligibility meeting to find the student ineligible for services. In the State Reporting section, if the student was receiving services, you will leave the section alone except for updating the Reason for Exit with the dropdown menu.

Goals

Not able to complete goals/outcomes to continue with creation of IEP

It looks like the student you were working on did not have complete information under the Anticipated Post-Secondary Outcomes / Goals and Services for Education. You had a goal but you did not have an outcome, so the system was telling you that you cannot have a goal without the anticipated outcome. In order to correct the problem, click on the first Details button from the Transition Section and complete all outcomes. This will clear out your error.

Transition

Problems listing training in reference to employment

Training is still related to the area of employment and that is where it would go. Say for example we have a student who wants to be a landscaper. In the employment section, we may put in activities such as job shadowing, working a local nursery to learn how to water and care for plants. We could have another student who is more involved and we are working on just starting a task and ending a task. We would put in the section of employment “Task training”. The student would still have postsecondary goal related to training, but is a subset of being an employable individual.

Message Board

How do I post questions, problems, messages to PCG?

To post a question, comment, or bug report on our message board, go to your district’s site exam: (https://go2.easyiep.com/iloswego ) On the main menu page in the middle of the page next to “Send us a message” you can click on Question / Bug Report / Comment / Suggestion / My Messages based on what you would like your message to be. We will then get your message and send you a reply within the next few hours. A different person is in charge of message boards everyday and we check the board periodically throughout the day.

Goals

Goal updates – Should goal updates be written to correspond with the school quarter or the ordinal quarter of goal usage? For example, if a goal is written in the 3rd quarter of the school year, the first time a goal is updated would be the fourth quarter of the school year but the first quarter progress is being reported. Make sense? I am just looking for clarification for consistency sake.

The goals should be graded out in the ordinal quarter of goal usage. So like your example if the goal is written in third quarter, it would be graded graded out the first time 4 quarter, then school would start again and that would be the second time it was graded out at end of first quarter. Also, the question does make sense.

Goals

Staff are also asking if a personal goal bank can be created in Easy IEP without having to access a specific student in the system and if so how does this work?

Yes. When you go to Annual Goals-àAdd goals-àManage custom goal-àthree options will appears:
1. Add goals from the lists to my goal bank
2. Import goals to my goal bank from case load
3. Create categories for my goal bank
Type in the goal that is desired in the boxes above these three options, then hit save and continue. This will bring you to another page that has three options:
Only import goals from Student X

Only include students for whom I am Case Manager

Create Categories from the Goal Area of the Goal

When I tried this, I selected the second one, which attached the goal that I created to all the students that are on my case load so I can just adjust the name and save me some time. I hope that this helps and makes sense. It is a lot easier that it appears to be written.

I cannot believe that August is upon us. It is time to shift gears from summer fun to servicing our students. This year our KCSEC theme is “The Power of Team”. The summer has flown by here at the office. We have over 500 employees on the KCSEC team starting the 2011-2012 school year.

We are asking all staff members to wear your favorite “team” apparel to Opening Day. If you wear your favorite team’s jersey or t-shirt you will be receiving a raffle ticket. We will be raffling some fun items during the course of the morning.

Beginning of the year information will be posted on the KCSEC website this week. This year our MANDATORY Opening Institute Day is Wednesday, August 17th at Yorkville Middle School. Our day will have a prompt 8:00am start. This will be the FIRST WORK DAY for all central staff members, which is different from past years. If you log into the KCSEC website, you will have access to your staff calendar.

If you are a NEW staff member to KCSEC information regarding New Staff Orientation is also posted on our website. New Staff Orientation begins on Monday, August 15th.

We had positive feedback last year about the format for Opening Day and this year will be similar to last. We will have a half day meeting at YMS, lunch on your own with your colleagues, and have time in your buildings in the afternoon with your classroom teams. Just a reminder, we will not be serving breakfast. Central Staff will be breaking for lunch on your own at approximately 11:30 am. Paraprofessionals and
SEAKC members will have a meeting at the conclusion of our morning from approximately 11:45 until 12:45, prior to your lunch break. There will be a snack provided by our Teacher’s Association, SEAKC, during this time. Thank you SEAKC! Paraprofessionals and SEAKC members will be breaking for lunch at approximately 12:45 pm. After lunch, everyone will be expected to report to your buildings to work with your classroom teams for the remainder of the day until 4 pm.

Please see the website for additional information on beginning of the year activities.
See you on Wednesday, August 17th at Yorkville Middle School, 920 Prairie Crossing Drive, Yorkville! Registration is from 7:15 am to 7:50 am. Please carpool. . .parking is a premium!!
